The go-live date for Phase I of the Workday Platform project is Saturday, March 18, 2023 beginning with time entry and absence, followed by HCM, Payroll, and Financial business processes going live Monday, April 3, 2023.

Workday Payroll Change Cycle

Employees currently paid weekly will change to a bi-weekly cycle effective March 18, 2023. 

  • Last weekly paycheck issued: March 24 (pay period March 11 – 17, 2023)
  • First bi-weekly check issued: April 7 (pay period March 18 – 31, 2023)

 

Training Information

The following considerations will inform our Workday training rollout to ensure that the Goucher community is engaged and supported as we navigate the changes ahead:

  • We will roll out training in segments to make it easier to master essential tasks first.
  • Training will be tailored to various roles and responsibilities, so you will not need to sit through training you don’t need.
  • We understand that some people have time constraints during standard business hours, so we will work to provide asynchronous training options for those who need more flexibility.
  • We will create self-guided job aids and short videos for repeatable tasks and offer live training sessions for more complex tasks or for those who learn better when following along with someone else.
  • We are planning other support outside of training, such as virtual drop-in hours and an online form to report problems or ask questions.

What is Workday?

Workday is a system that will allow Goucher to recruit new employees, store employee records, process hiring and benefits information and run payroll and all our critical accounting and business affairs processes. Unlike PowerCampus, Great Plains, Ultipro, and Interview Exchange, Workday is a single, unified, modern, secure, and mobile-ready system that will replace these disparate systems and provide a single interface to support all of these different business functions. These will soon be available in one place on the web and via mobile app.

Over the past four years, Goucher has been evaluating alternatives to run our Human Resources, Finance and Payroll business processes. Goucher has selected Workday as its next generation ERP (Enterprise Resource Planning system).

How is workday related to the institution’s strategic plan?

Workday is currently the primary focus of the strategic plan. As the College continues to improve technology and business process across campus, Workday is a critical component to meeting the institution’s mission and goals. Learn more about Goucher's strategic plan.

How will security and privacy be managed in workday?

Workday information is secure and private. Access to data is based upon Workday roles assigned in the system. For example, hiring managers can manage recruiting and hiring tasks inside Workday.

How will I be Notified when actions need to be performed in workday?

Workday functionality includes a personal inbox where notifications are received. Workday will notify users through email that they have a pending task to complete in Workday. Thus, users will not have to log into Workday daily to check if they have a task in their Workday inbox.

At what point can employees update their benefits?

Enrollment periods will remain the same, but employees will be able to easily update and manage their benefits through Workday and will no longer need to fill out paper forms and submit them to HR. Employees will also see their entire compensation and benefits package.

How do employees request and manage vacation time?

All non-exempt and exempt employees can view their available time balances and log their vacation days and floating holidays in Workday. (If vacation time is not available, Workday will not allow employees to request time off.) Managers can deny or approve employees’ requests for time off in Workday.

How and when can I update my direct deposit for payroll?

If you currently use direct deposit, the same banking information will be transferred into Workday. You will be able to easily review or update your current direct deposit using the ‘Update Payment Elections’ once Workday is live.

Will my pay stub look different? will I recognize the pay codes and structure?

Your pay stub may look a little different, but all the information will remain the same, including the federal tax codes.

Will the deadlines and timelines (e.g. pay periods) for pay remain the same? are there cutoffs that I should be aware of?

Payroll periods and deadlines will remain the same.  Employees currently paid weekly will change to a bi-weekly cycle effective March 18, 2023. After March 24, 2023, paychecks will be issued every other week with the first bi-weekly check issued on April 7, 2023, for the pay period of March 18, 2023, through March 31, 2023.

How are expense reports submitted in workday?

Expense reports are created and managed in Workday. The employee creates a report, indicates the business purpose, attaches a photo of the receipt, and includes a brief description. The expense report is sent electronically to the manager for approval. The new process will significantly reduce the time it takes for reimbursements.

For student workers, staff, and faculty, it will provide easy access to all your Goucher employee information. For Center Directors, faculty chairs, and administrative staff, Workday will provide greatly enhanced access to budget information, expenditures, and available funds. For budget officers, Workday will offer new and advanced reporting features and data analysis opportunities.

What should I know about training? When will I be trained?

Training for Workday is a very high priority, and we are currently refining our training programs and plan for introducing Workday to campus. Training will provide you with a real-world experience in effectively using Workday. Training materials and workshops will begin rolling out starting in March 2023.

What will users be able to do in Workday?

Users across campus are impacted in different ways. One of the main benefits to Workday is that information will be more secure, easier to access and some processes, like reimbursements, will move more quickly. Here are some of the actions you will be able to perform in Workday:

  • View and update personal employee data including compensation and benefits packages
  • Update banking information and view pay stub
  • Manage time off work (e.g., vacation, sabbatical, FMLA)
  • Submit time in/time out for daily work
  • Submit and approve expense reports
  • Manage procurement and supplier requests
  • Manage new hire process from recruiting to onboarding
  • Document and manage goal-setting, mid-term reviews, and performance reviews
  • Use mobile app (offered but not required) to quickly manage processes (e.g., create expense reports, submit time off, and update personal information)

Can employees update their personal information in Workday?

Yes, employees can view and easily update their personal information in Workday at any time, including phone numbers, address, emergency contacts and bank account information. 

How are student workers and their supervisors impacted by Workday?

Students who submit hourly time and request time off will access Workday. Managers of students will approve students’ time and leave as established by Goucher College policies. Students will view their personal information in Workday including their paystub. Student workers and their managers will be supported with training.

How will security and privacy be managed in Workday?

Workday information is secure and private. Access to data is based upon Workday roles assigned in the system. For example, hiring managers can manage recruiting and hiring tasks inside Workday.

How will I be notified when actions need to be performed in Workday?

Workday functionality includes a personal inbox where notifications are received. Workday will notify users through email that they have a pending task to complete in Workday. Thus, users will not have to log into Workday daily to check if they have a task in their Workday inbox.

Changes requiring legal documentation, such as a legal name change or change in citizenship status, can also be submitted through Workday for routing to Human Resources. What are the community service hours I see listed in my absence balance?

Goucher College contributes to and, in turn, is enriched by the Goucher community, the communities of metropolitan Baltimore, our home communities, and the communities of our world.  In support of this, the College has established a Community Service Policy to enable faculty and staff to engage in the community during normal working hours. 

The College provides one full day of paid leave to staff per fiscal year (pro-rated for part-time staff) for community-based volunteerism.  Staff may request Community Service Leave in Workday with the applicable leave code.

What can I do in the Workday Mobile App?

Employees who enter time can enter their time worked in the mobile app. Employees can view time off balances and submit absence/leave requests. Managers can approve time and leave requests. You can access your inbox, view your payslip, and complete other basic, self-service functionalities. For more advanced business processes, use the desktop version of Workday. The use of the Workday Mobile App is optional.

Are there cutoff/freeze dates that I should be aware of?

Submit All Invoices and Expense Reimbursement Requests through Legacy Systems by March 9th for processing. (see Cutoff/Freeze Dates Table above)

No Credit Card Purchasing between March 28th- April 3rd.

  • March 28th- Last Day to Make a Credit Card Purchase
  • April 3rd- Credit Card Purchasing Resumes (All credit card purchases after the freeze will be submitted for approval using Expense Reports in Workday.)

What happens if I miss the cutoff/freeze deadlines?

  • Invoices submitted after March 9th for immediate payment, must be submitted with a manual signature for immediate payment in our legacy system, or it will be held until April 3rd to submit for approval through Workday.
  • We will make every attempt to include any approved expense reimbursements submitted by March 9th in our final payroll in the legacy system. All others will need to be submitted in Workday after April 3rd.
