How to Use Outlook's Junk Email Filter

On average, Goucher processes 43,000 pieces of e-mail each day and about 59% of that is SPAM that is caught by our server.  Although we are catching a large number of SPAM a day, we know that it is not enough.  In order to help combat this problem we recommend that you use the junk e-mail filter within Outlook.  Here are instructions on how to increase the junk e-mail filter level:

On a PC:

  • In Outlook, click on the Actions menu and move your mouse to the Junk E-mail sub menu.
  • Select Junk E-mail Options.
  • Select High then OK.

Please contact us for further assistance if you get a message that states that Outlook needs to be in Cached Mode.

 

On a Mac:

  • In Entourage, click on the Tools menu. 
  • Select Junk E-mail Protection.
  • Set the level to High and click OK.
 

In Outlook Web Access (OWA):

  • Click on the Options button and scroll down to thePrivacy and Junk E-mail Prevention section.
  • Make sure that Filter Junk E-mail is checked.
  • Click on the Manage Junk E-mail Lists to allow or block addresses.

Please note that if you already use Outlook’s Junk E-mail filter then you do not need to make any further changes in OWA.

 

Two features that work well with the junk e-mail filter are the blocked senders and safe senders list.  As e-mails detected as SPAM are put into the junk e-mail folder, you should go through it at least once a day to check for any legitimate e-mails that may have been mistakenly sent to that folder.  You can use these lists to improve the performance of the filters.

For instance, if you find an e-mail that is legitimate, perform the following:

  • Click on the e-mail to highlight it.
  • Click on the Actions menu and move your mouse to the Junk E-mail sub menu.
  • Click on Add Sender to Safe Senders List.
  • Then click OK.

If you find an e-mail that is SPAM, perform the following:

  • Click on the e-mail to highlight it.
  • Click on the Actions menu and move your mouse to the Junk E-mail sub menu.
  • Click on Add Sender to Blocked Senders List.

Please note that in Entourage, using the Junk and Not Junk toolbar buttons will provide similar results.  We appreciate your patience as we continue filtering out as much SPAM e-mail as possible.
