Guidelines for Use of  Special Collections

 

PERSONAL ITEMS must be left in the designated area outside the reading room.

EQUIPMENT:  Laptop computers and audiovisual equipment may be used with permission of staff.

REQUESTING MATERIALS:  When applicable, please provide specific citations for materials found in OLLI, the online catalog.  Staff will assist with identifying appropriate material in archival finding aids.

MAINTAINING ORIGINAL ORDER:  To preserve the integrity of materials, please request only one record series/collection and no more than two boxes at a time; have only one box open and one folder out for review at a time and maintain the existing order of material within folders and boxes. 

HANDLING OF MATERIALS:  Materials must be handled with care. Please use only pencils for notetaking; do not mark on material or erase existing marks; do not write or rest books or other objects on the surface of materials; and do not fold or tear documents or make tracings or rubbings.

CIRCULATION:  No material will circulate.  Reproductions should be used whenever possible.

REPRODUCTION: Items may be photocopied for a fee and in accordance with the limits of the copyright act.  Special Collections and Archives staff may restrict copying to protect fragile or damaged materials. 

RESTRICTED MATERIALS:  The use of certain documents may be restricted by statute or the office of origin or donor.  The researcher is responsible for adhering to terms related to the use of restricted materials.  Staff may also need to restrict use of materials that are unprocessed or extremely rare or fragile.

PUBLICATION:  Researchers must obtain permission from the Special Collections and Archives before any unpublished documents or photographs may be published.  The researcher is responsible for using material in accordance with laws of defamation, privacy, and copyright.  Goucher College is not liable for any suits, claims, actions and/or expenses arising from a researcher’s use of their collections. A gratis copy of any publication including reproductions of documents held by the department must be deposited there.

CITATION:  If permission to publish is granted, appropriate citation is required. Examples of footnote citations are available from the Special Collections and Archives staff.  Sample citations can be found here.
